Why Every Business Owner Should Send Out Their Large Copy and Print Jobs

The printers and copiers available for today's businesses can often do much more than ever before, but this doesn't mean that a business owner should just automatically invest in such equipment for their office. There are some very good reasons to consider having just basic printers and copiers in the office and relying on outside print and copy services for very large jobs. Note a few of those reasons so you can determine if this is the best choice for your office.

1. Upgraded features

If you buy a printer or copier today with upgraded features, those features may seem outdated in just a year or even a few months, and new features may come along that would make your work much easier and more professional-looking. These features might include email functions, the ability to add watermarks or other marks to pages, and so on. However, once you invest in a printer or copier, you may not want to continuously replace that equipment with something upgraded and that offers more features. To save your company this expense and still have the features needed for your print jobs, it may be better to rely on a print shop that always has the latest equipment available.

2. Labor costs

High-quality printers may be able to handle a number of tasks that would otherwise be very labor-intensive, and a print shop may also be able to provide additional work that your staff would otherwise need to handle. This might include binding or stapling, hole punching, laminating, assembling packets, and the like. A print shop may even have equipment that can tri-fold letters and they may stuff envelopes for you. 

The cost of having your own staff handle these jobs can be steeper than the cost of sending it to a print shop, especially when you consider not just the salary you pay your staff, but the fact that these simple tasks take them away from more important work such as selling or servicing customers.

3. Rush jobs

One reason to consider sending large print and copy jobs to a print shop is that they can often handle rush jobs and larger jobs much easier than you can in the office. If you only have one copy machine, that large job can tie it up indefinitely, and other jobs get delayed. You may also wind up paying staff overtime for a job that a print shop could easily do during their evening shift. To make it easier on your staff and to ensure that you never disappoint a customer by not having items ready as you should, consider using a print shop for your larger print and copy needs.
